Privacy policy
1. Who is responsible
The controller for the processing described here is Nikita Alekseevich Sobolev (contact: nikitas142003@gmail.com).
2. Quick check: your files stay on your device
The quick check runs entirely in your browser. The files you select are read and checked on your device and are not uploaded to our server or to anyone else.
3. Optional AI clarification
Only if you tick the AI box (it is off by default), the browser sends a technical profile of unclear documents through our server to OpenRouter, Inc. (USA). The profile contains column types, patterns and counts, but no document text, no amounts and no personal data. Requests are routed only to providers that do not collect or retain the data. To avoid repeated requests, our server keeps the technical answer (not your document) for up to 180 days.
Legal basis: your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time by leaving the box unticked.
4. Full check request on the website
When you request a full check, we receive:
- your e-mail address, company name and optional comment;
- data prepared on your device: amounts, dates, rates, quantities, countries, and the invoice, shipment and carrier customer-account numbers needed for a claim to the carrier.
Names, addresses, phone numbers and e-mail addresses of recipients or other persons in your documents, bank details and your original files are not transmitted. The request is stored with our hosting provider and we are notified by e-mail.
Legal basis: performing the requested service and steps before a contract (Art. 6(1)(b) GDPR).
5. Documents sent to us by e-mail
If you send us invoices or other documents by e-mail for the full check, we use them only to perform the check, prepare and send claims you have approved, and calculate our fee. For the analysis we use artificial intelligence services of third-party providers acting on our instructions; where the provider offers it, we use settings that exclude the use of your data for training. Legal basis: Art. 6(1)(b) GDPR.
6. Contact form and e-mail
If you write to us, we use your e-mail address and message only to answer you. Legal basis: Art. 6(1)(b) and (f) GDPR (answering your enquiry).
7. Technical data, no cookies, no tracking
Our hosting provider processes technical data such as the IP address and time of a request to deliver the website and to protect it against abuse (for example, limiting the number of requests). We do not use cookies, analytics or advertising trackers. Legal basis: Art. 6(1)(f) GDPR (secure operation of the website).
8. Recipients and transfers outside the EU
We use the following processors: Netlify, Inc. (USA) for hosting and storing requests; OpenRouter, Inc. (USA) only for the optional AI clarification; our e-mail provider Google LLC (USA); and the AI service provider used for the full check. Transfers to the USA are based on the EU–US Data Privacy Framework where the recipient is certified, or on the EU Standard Contractual Clauses. We do not sell data and do not share it with carriers except in claims you have approved.
9. How long we keep data
- contact messages: up to 12 months;
- full check requests, documents and correspondence: for the duration of the check and the related claims and up to 12 months after the case is closed;
- data needed for invoicing our fee: as long as accounting law requires;
- technical AI answers (no document content): up to 180 days.
10. Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability and to object to processing based on legitimate interests, and to withdraw consent at any time. Write to nikitas142003@gmail.com. You may also lodge a complaint with a data protection supervisory authority, in particular in the EU country where you live or work.
11. Changes
We update this policy when the service changes. The date at the top shows the current version.
Terms of service
1. Service
Count Twice checks carrier invoices for overcharges. The quick check on the website is free. On request we carry out a full check and prepare claims to the carrier for the amounts found.
2. Who can use it
The service is intended for businesses and self-employed persons acting in their professional capacity, not for consumers.
3. Quick check
The quick check is an automatic, informational result based only on the files you select. It shows a confirmed overcharge only where the invoice itself proves it; other items are marked for the full check. Amounts such as "up to 10%" are possible savings, not a promise.
4. Full check and claims
You provide the documents needed for the full check and confirm that you are entitled to use them. We tell you which amounts can be claimed. A claim is sent to the carrier only after you approve it. Whether and how much the carrier refunds is decided by the carrier.
5. Fees
There are no fixed fees. The Count Twice fee is 25% of the amount the carrier actually refunds or credits as a result of our claims. If nothing is refunded, you pay nothing.
Our invoices are payable within 14 days. Fees are stated without any taxes that may apply by law; such taxes are added where required. Please tell us about refunds or credits you receive directly from the carrier for claimed amounts, because they are the basis of the fee.
6. Your obligations
Provide complete and genuine documents and tell us promptly if a claimed amount has already been settled with the carrier.
7. Liability
We work carefully but cannot guarantee that the carrier will accept a claim. Our liability is limited to the fees you paid us in the 12 months before the event giving rise to the claim. This limitation does not apply to intent, gross negligence or where the law does not allow it.
8. Confidentiality
We keep your documents and data confidential and use them only for the service. Details are in the privacy policy.
9. Ending the cooperation
Either party may end the cooperation at any time by e-mail. Fees for claims already sent remain due if the carrier refunds or credits the amounts later.
10. Changes and contact
We may update these terms; the version in force when a claim is sent applies to that claim. Questions: nikitas142003@gmail.com.
